Make the handover clear

A movement depends on the information passed between teams.

A handover is the moment one party stops controlling a load and another begins. The physical transfer can appear straightforward while uncertainty remains about the goods, their condition or the documents travelling with them. Those uncertainties should be addressed before responsibility changes.

Agree what the receiving team must check. Identification, quantity, packaging condition and the presence of relevant documents form a practical starting point. The check should match the cargo rather than become a generic list that no one can apply at the loading point.

Identify who can resolve an exception. A driver or warehouse colleague needs a usable contact when the cargo differs from the instruction. Establish whether the movement should pause, what evidence to record and who can authorise the next action.

Record damage or quantity differences while both parties can inspect the load. A concise description supported by appropriate photographs is more useful than a later disagreement about the word damaged. Keep the record connected to the shipment identifier.

After release, ensure the next party has the revised information. A successful handover leaves the receiving team with an accurate picture of the cargo and any unresolved condition. It is a communication process as much as a signature on a delivery record.
